Adding and managing profiles: automatic versus manual information requests

This guide walks you through adding and managing profiles in Onboard, offering the choice between automatic and manual information requests. From initiating new profiles to sharing requests, follow these instructions to efficiently onboard your clients.

1. Create an automatic request

There are two ways how you can generate an information request: manual and automatic. We will first show you how an automatic request can be generated. Click “New profile” at the top of the project you are in and opt for automatic profile generation by clicking on “Generate automatically.”

2. Select a KYC template

Generating an automatic request is super easy and quick. As it is based on the KYC template you created previously, you will only need to select the KYC template you would like to apply, and add the email address of the person you are going to send the request to. 3. Pre-fill information (if needed)

If it is not the first request you are sending to this specific client, you can allow them to re-use the information they might have submitted previously by leaving the “Allow the recipient to re-use information from an existing Mesh ID KYC profile” enabled.

Additionally, if you have some information on your client already and would like to pre-fill it for them, you can do this by clicking on “Add profile details”.

4. Get share link

Once ready, get the shareable link by clicking on “Get share link.”

5. Share the link with your client

Now you can send the link to your client. Once they start the process, they will be asked a number of questions (based on the KYC template you applied) to identify which documents and/or checks you need from them. You can check what the process looks like for them in our “Onboard: Client experience” tutorial.

6. Create a manual request

Now let’s take a look at how you can create a request manually. There might be some unique situations when you need to request a specific document from a client, for example. In this case, sending a manual request might be a better option. Click “New profile” at the top of the project you are in and opt for manual profile creation by clicking on “Create manually.”

7. Choose profile type

As the first step, you are asked whether the request is for a natural or for a legal person. Let’s create a request for a legal person. Select “Legal person” and click “Next”.

8. Pre-fill information

Now you have several options as of how you can pre-fill the information for your client. You can search in a country registry and extract the information from there automatically or you can pre-fill it yourself by choosing “Create manually instead”. Let’s take a look at how automatic search works. First, enter the country of registration.

9. Search for the entity in a company register

Now you can enter the name of the entity, its registration number or search by legal entity identifier (LEI).

10. Select the entity from the list

Let’s search by name. Enter the name of the legal entity, then click “Search” to browse through the list that appears below and select the appropriate name.

11. Confirm to extract information

Click on “Continue”.

12. The information is extracted

The information has now been extracted from the registry. You might still want to pre-fill some additional fields at this point.

Once ready with the legal entity details, scroll down and press “Create” to move on to the next step.

14. Add a related party

Now as the profile is created, you can start adding related parties if needed. Simply click on “Create related party” to proceed.

15. Pre-fill information

Choose whether you would like to add a natural or a legal person. Let’s add a natural person. Now let’s indicate the role of the natural person, and click on “Next”.

16. Confirm

Now we need to add their first and last name. You can also add any other details you would like to add by clicking on “Add more details”.

17. Add documents and/or verifications

Now as the related party is added, we can indicate what documents and/or verifications we would like to request. Simply go to “Actions” next to the main profile name and click on “Add documents”.

18. Select documents you would like to request

From here you can indicate what documents you would like to request from your client.

19. Add documents or verifications to a related party

Similarly, if you would like to request information from a related party, go to “Actions” next to the related party name and click on “Add documents or verifications”.

20. Select the documents and/or verifications you would like to request

From here you can indicate what documents and/or verifications you require.

21. Share the request

Once you have added all the profiles and information you have, it is time to generate the onboarding link. You can do this by going to “Actions” and clicking “Share the request”.

22. Send the link to your client

Enter the email address of the client and click on “Create share link”. You will see the link appear on the next screen and it is ready to be sent to the client.
